Employee monitoring software is any program that allows you to inspect your employees’ actions on company’s computers, both real-time and in the past, and gain insight into their habits, time consumption, and productivity levels.

In this article we will share with you our list of top 5 software solutions for monitoring your employees (updated in 2017).

Two broad categories

Monitoring software solutions can be placed in two broad categories – those who primarily serve as a surveillance tool for promoting informational and system security; and those who help superior with tracking their employees’ working habits and productivity, for the sake of easier people management.

Most of the top programs we analyzed can do both to a certain extent but are primarily oriented towards providing one of those two types of monitoring.

How we analyzed

The market is filled with various solutions that can help you reach the desired outcome, and each of them offers a different set of features to fit different businesses’ needs. We’ve browsed through some of the best monitoring software review websites such as Capterra, GetApp, and TopTenReviews in search for the best employee monitoring software, and here are our top five.

Our List of Top 5 softwares for monitoring employees:

5. SentryPC

SentryPC One Star Review

According to their website, SentryPC is a cloud-based monitoring and filtering solution that lets you record, filter and schedule computer activities of your people.

(+) Pros

  • Oriented towards heavy monitoring

As far as its features are concerned, we can say it looks like a robust monitoring and surveillance tool if that is your thing. The software provides real-time monitoring with the ability to catch screenshots, attendance and inactivity tracking, as well as email, keystroke, file printing and even removable storage monitoring.

  • Filtering the content

SentryPC also allows you to filter and block potentially harmful websites, applications, chats or games that your employees use. For example, you may select times when the same content won’t be filtered to allow users a chance to browse the internet freely during the lunch breaks.

  • Evaluating productivity

The program can also be used to track when employees are idle or when they log on and off of their computers. However, we could not find an evidence of advanced productivity reporting and analysis, nor of any other categorization of apps and websites as productive, unproductive or neutral.

(-) Cons

  • No trial available

Unfortunately, the software isn’t available for Mac users, and the lack of a free trial version of the software made it impossible for us to completely examine every relevant detail, which left us with external sources and a slightly scarce pre-made online demo presentation to obtain more information about this program.

This is the main reason for SentryPC being in the fifth place of our list – there simply isn’t a way for the user to get the accurate full picture about software functionalities, without previously paying 59.90$ for a whole-year plan (and that is just for a single PC).

  • Support only during business hours

We were a bit surprised to learn that there still are software companies who do not offer a free sample of their product, but obviously, there are users who don’t mind. However, in case they need help, it might cost them some time as company’s support team isn’t available 24/7, and the best way to get to them is via email.

Price

As far as pricing is concerned, SentryPC offers three plans: a $59.90 for a single PC per year, a $955 for up to 50 licenses per year, and a $1,595 for up to 100 licenses per year. Generally speaking, this is not pricey, but the fact that you are obligated to pay a subscription for a whole year without previously being given a free trial can be somewhat problematic, especially for smaller companies.

4. Toggl

Toggl Two Stars Review

 (+) Overview and Pros

Toggl is an intuitive and straightforward to use software for tracking employee time and monitoring progress on tasks and projects, with additional features for simplified accounting. The solution is cloud-based, with good customer support that is available by email during working hours, or even 24/7 if you upgrade to a premium plan.

(-) Cons

  • Time tracking is not entirely automated

While this program helps significantly with payroll accounting for agencies or any other client-related jobs with hourly rates, it is not as powerful monitoring tool since its time tracking feature is not entirely automated. Employees need to enter the hours they’ve spent working by clicking Start/Stop button to set the timer on and off (either within the program itself or with a Chrome button extension). Which can be problematic as people often forget to keep track of their time while they’re busy, so the numbers that appear in timesheets sometimes happen to be more of an estimation than the actual and precise data.

  • No screenshots and website blocking

Since it isn’t a surveillance tool, Toggl does not provide real-time tracking, as well as the screenshot capturing and website blocking. Attendance is being tracked manually, which can, later on, be used for tracking billable hours and simpler accounting. Hopefully, the QuickBooks integration will be here soon, too.

  • Biggest drawback

The biggest drawback regarding this software is that it doesn’t monitor any of the websites, apps, or files being used for the specific amount of time. Employees are obligated to manually write comments about what they were working on, which seems quite scarce and time-consuming. Besides, while it offers different types of reporting, reports mainly consist with the number of billable and nonbillable hours spent working on particular tasks; without providing much information regarding employee productivity and working habits.

Price

With pricing of $9 per user per month it is not the cheapest solution on the market, but with 30 days long free trial period and a free plan with basic time tracking for up to 5 users, we suggest that there’s no harm in trying out how this solution might fit your organization. However, if you need deeper insights about your employee’s behavior, you’re probably going to need a much more robust solution.

Try Powerful Employee Time Tracking Software:

3. Yaware.TimeTracker

Yaware Three Stars Review

Yaware.TimeTracker is an automated time tracking app that allows monitoring internet and software usage, tracking time spent on different projects, and evaluating productivity and performance. It is another cloud-based solution, with a customer support team that will be happy to help you via email during their working hours.

(+) Pros

  • Screenshots and snapshots

It is a powerful monitoring software, as it tracks all actions automatically and lets you observe employees attendance, real-time actions, and the time consumption in the past. Besides screenshots, it also captures snapshots with web camera – which indeed is quite intrusive, and you should get familiar with your country’s legal issues before implementing it. Despite its strong monitoring emphasis, blocking certain websites or applications is not possible in Yaware for now.

(-) Cons

  • No tasks and projects tracking

Yaware.TimeTracker still doesn’t have a feature that tracks tasks and projects, nor accounts payroll or expenses. However, it does track employee productivity – you can mark all records as productive, unproductive or neutral, which will later be used in productivity reports and analytics. You can also choose whether the program will be run in stealth mode, or transparently so that users will know they are being monitored.

Price

With the price of $8 per user per month it is affordable to most businesses who are ready to invest in improving their employees’ performance; although it is possible to find cheaper solutions with the same or even better features.

2.
Veriato 360

Veriato 360 Four Stars Review

Veriato 360 is a monitoring software strongly oriented towards surveillance and security preservation. It gives you the ability to thoroughly monitor employee activity remotely, either from home computer, laptop while you’re on the road, or your smartphone. The software is cloud-based, and the installation is not especially difficult. If you still happen to have some difficulties, their strong support team should solve it in no time (unless it’s weekend).

Pros & Cons

  • Robust monitoring features

Besides tracking time and activities conducted on company’s devices, Veriato 360 also captures screenshots and keystrokes, either in the set time intervals or triggered by certain actions. But it goes even further – it can record everything that happened on a computer screen in video format and store it for you to view later. However, be careful with using this feature as it might revolt some employees – or at least put them up for it beforehand.

  • Productivity analysis is included, task tracking is not

The software also tracks employee productivity and generates different types of the report regarding their time consumption or potentially mischievous actions. Filtering and blocking websites, programs and files are also possible, while there are no task management or payroll features, due to software’s primarily surveillance orientation. Still, you get to choose whether it will be run transparently or in stealth mode.

Price

The one particular thing we did not like about Veriato 360 was its lack of transparency when it comes to pricing. Prices are not publicly pointed out, so you need to submit your data and email to obtain more information.

Why WorkPuls?

The installation is quick and simple – you should be able to do it yourself in no time. In case you have any issues or questions along the way, our support team is available 24/7 via live chat, phone or email. Once installed, the software will run smoothly on your employees’ computers without any visible trace – it is entirely up to you whether your people will know they are being monitored. WorkPuls is supported on both Windows and Mac platform.

(+) Main Advantages

  • Fully automated time tracking

WorkPuls Real Time Tracking

WorkPuls – RealTime Employee Tracking Software

WorkPuls tracks time fully automatically, which means that it starts tracking when the computer is on and stops when it shuts down, so no data will be missed. No data will be lost either, since if the computer is offline for any reason, the data will be stored locally and sent to our servers as soon as it goes online again.

  • Complete productivity tracking and exporting options

You will be able to see your employees’ attendance, active time, idle time (no mouse or keyboard activity), productive time, as well as when they were inactive for any reason (calls, meetings, etc.). Also, you can observe all of this real-time, in case you are out of the office. All the collected data can be analyzed and exported through beautiful reports in Excel, QuickBooks, or other integrated programs.

  • Flexible screenshot capturing

WorkPuls does not allow blocking programs and websites, but instead allows you to mark them as unproductive and see who used them, when, and for how long. It also captures screenshots on defined periods of time, or randomly, as many times as you requested.

  • Payroll

The software also tracks your employees’ payroll, while the task tracking feature will be out very soon.

  • Employee login option

In addition to this, it is now possible to authorize your employees to log in and see all the data related to them. This can be extremely helpful in the feedback process – each employee can learn about themselves and see how productive they are compared to their most productive colleagues or company’s norm.

Price

All of this is available for as much as $6 per user, billed monthly. Not only that, if you try and discover that WorkPuls helps your organization greatly, you can save 20% by paying a yearly plan of $57 per employee. For enterprises with a higher number of employees, we can negotiate pricing together, whether they need an on-premise or a cloud-based solution.

With so many employee monitoring solutions out there on the market, it is sometimes complicated and time-consuming to research everything thoroughly and get the right picture. Most technologies offer either in-depth productivity analysis without providing enough control, or monitor employees’ actions in such a heavy and intrusive manner that their privacy becomes threatened. This is why we gave advantage to those who reconcile the two extremes, while helping and improving both companies and their employees.
